“renovo” is a smart system for real estate and construction companies that digitalizes proposals for rental property management and renovation orders. It allows even sales novices to sell without speaking, simply by tapping the screen.

By tapping the screen, the AI ​​automatically starts speaking, allowing anyone to handle everything from management contracts and renovation planning and design to contracts and customer management all in one place. Furthermore, simply by tapping on the construction specifications tailored to the homeowner’s property, such as interviews, renovation construction, and estimates, the AI ​​will speak and make all proposals.
It’s also a smart system that can handle income/expense simulations, closings, contracts, and customer management all in one place, making it a perfect fit for the new normal era, where proposals can be made anytime, anywhere.

Our support

Background of the request

As the rental property renovation market expands, vacant rooms are becoming longer and vacancy rates are increasing due to a declining population and an oversupply of buildings, and we are aware of the issues of a shortage of sales staff and a lack of know-how. This system was born from our desire to build an automated sales support system called “renovo” that allows anyone, regardless of their sales experience, to make proposals at a certain level.

When selecting a vendor, the client placed importance on the speed of development to meet the deadline, high design quality, and whether the vendor would not just develop the product but also proactively propose improvements during development. Our company has a wholly owned offshore subsidiary in Vietnam, and we are able to allocate sufficient development resources, and we are able to flexibly respond to the client’s requests by proposing improvements, which led to the client’s request.

Design challenges and initiatives

Some of the designs had been created by the previous vendor, and we made improvements to them.
As part of our efforts, we first identified the issues, and the following were identified:

  • The buttons for switching screens are small and not sensitive enough, so there is a risk of accidental operation.
  • Although the buttons have the same function, they look different.
  • There is no navigation, so you can’t quickly return to a specific page. You have to go back one page at a time.
  • The graphs are not color coded and are difficult to read.
  • There are too many different font sizes and it lacks consistency.
  • There are extremely long pages that require significant scrolling.
  • Basically, each screen is shown by sliding horizontally, but there are also screens that don’t fit into the flow inserted along the way.

In light of this issue, we have made the following improvements:

  • The buttons have been resized to be easy to press even on a tablet, and there is adequate spacing between them to prevent accidental operation.
  • All buttons with the same function should have a consistent appearance.
  • A side navigation bar is placed on the left side of the screen, allowing quick transitions from any page. Bookmarks are also suggested.
  • The graph is colored based on priority.
  • Reduce the font size to a certain extent to maintain overall balance.
  • Use tabs or accordions for extremely long pages.
  • Review the screen layout, divide it into categories, and make low-priority pages independent pages or open them in modals.

Development process

Since “renovo” is operated by sales staff during actual business negotiations, we visited TRN to experience what a business negotiation actually looks like. Based on this experience, we created a user story and incorporated it into the business flow. Furthermore
, in developing the renovation proposal function that utilizes narration and animation, we made adjustments to the voice speed and intonation to make the narration pleasant to listen to.
For this, we prepared multiple narration patterns using narration software, visited TRN, and discussed adjusting the parameters on the spot until we found the optimal narration.
Furthermore, in order to synchronize the narration with the timing of the animation, we took the time to break the narration down into small sections so that it would play at the right time.

Development Structure

During the requirements definition and design production phases, PM, PL, and designers participated on a semi-contract basis, and during the development phase, engineers from our wholly owned subsidiary’s offshore base in Vietnam participated on a contract basis to support the development.

In addition, the following resources were invested over the eight-month development period.

  • PM (Japan): 4 man-months
  • Designer (Japan): 1.2 man-months
  • Developers (Japan + Vietnam): 28 man-months
  • QA (Vietnam): 5 man-months

Results and future support plans

We delivered the “renovo” system and operation manual, and achieved improved quality and efficiency in operations from proposals to customer management. We will continue to provide support with the aim of further improving the system.
